Barcode registration is the process of obtaining a unique, machine-readable product identification number that can be scanned and recognised anywhere in the world. Every product sold through modern retail, a marketplace or an export channel needs one so that it can be identified, tracked and processed consistently across the supply chain.

In technical terms, what you actually obtain is a GS1 Company Prefix — a unique number licensed to your business by GS1 India. From that prefix you generate a Global Trade Item Number (GTIN) for each product, and the GTIN is what is encoded into the barcode symbol printed on your pack.

A barcode symbol itself is just a way of printing a number so a scanner can read it. The value is not in the bars — it is in the number being globally unique and registered to you, which is what GS1 registration provides and what a generated image does not.

Is Barcode Registration Legally Mandatory?

It is worth being accurate about this, because a good deal of published material overstates it.

Barcode registration is not, in general, a statutory requirement. No Indian law obliges an ordinary manufacturer or trader to hold a GS1 licence. You can lawfully manufacture and sell a product without a barcode.

What makes it effectively compulsory is commercial reality:

What is GS1 Barcode Registration in India?

GS1 — Global Standards One — is the international not-for-profit organisation that maintains the global product identification system, operating through member organisations in over a hundred countries. Lapsed numbers may eventually be reallocated. Data associated with them stops resolving to your business in the global registry.

A prefix cannot simply be sold or transferred to another business. On a genuine transfer of a business, the position must be regularised with GS1 India — which is precisely why buying barcodes second-hand from a third party is problematic.

The licence is to your legal entity. If the entity changes — a proprietorship converts to a company, a firm is reconstituted — the membership must be updated, not silently carried over.

Two variables drive the choice, and getting either wrong is expensive.

Number of GTINs required. This determines the prefix length allocated. Under-declaring means running out of numbers and needing an additional prefix; over-declaring means paying for capacity you do not need.

How to count your GTIN requirement properly. Count SKUs, not products. Every distinct sellable variant needs its own GTIN:

GTIN Allocation Rules — When Do You Need a New Barcode?

GS1 publishes rules on when a change to a product requires a new GTIN. Applying them correctly avoids both under-allocation and unnecessary cost.

Barcode Print Quality and Verification

A correctly allocated GTIN printed badly is a barcode that does not scan — and the trade treats an unscannable barcode exactly as it treats no barcode.

What determines scannability

Size. Symbols have a nominal size and permitted magnification range. Shrinking a barcode to fit a small pack below the minimum magnification makes it unreadable.

Quiet zones. The clear space either side of the symbol is part of the symbol. Artwork that crowds it — a border, text or another design element — breaks the scan.

Contrast. Dark bars on a light background. Red bars, or bars on a dark or metallic background, frequently fail because scanners read in the red end of the spectrum.

Distortion. Printing on curved, flexible or textured surfaces distorts the bars. Shrink-wrap and squeezable tubes are common problem cases.

Substrate and print process. Flexographic printing on film behaves differently from offset on carton board, and the barcode must be specified for the process.

Placement. Position on the pack matters for how it is presented to a scanner.

Verification, not inspection. A barcode verifier measures the printed symbol against the ISO/IEC print quality standard and issues a graded report. This is different from simply scanning it once with a phone — a symbol that scans on your desk may fail on a busy checkout scanner at an angle. For any significant print run, a verification report before mass production is worth far more than it costs.

Amazon GTIN Exemption — The Exception Nobody Mentions

Most guidance states flatly that a GS1 barcode is mandatory for marketplace listing. That is the general rule, but there is an exception worth knowing about, particularly for small and new sellers.

Amazon operates a GTIN Exemption process under which a seller may list products without a GS1 GTIN in defined circumstances — typically for private-label or own-brand products, handmade goods, product parts and bundles, and certain categories where manufacturer identification is not available. The seller applies for the exemption, providing evidence such as brand ownership documentation and product images showing the brand on the product and packaging.

What to understand about it

It is category and situation specific, not a general opt-out

It requires evidence of brand ownership, which is where a trademark registration is genuinely useful

It is Amazon’s own process, and does not help with Flipkart, retail chains, exports or any other channel

It does not give you a globally unique identifier — you remain unable to sell into modern retail or export on that basis

The honest advice. For a seller testing a small private-label range on a single marketplace, GTIN exemption is a legitimate route and may be the right first step. For any business that intends to reach retail, multiple marketplaces or export markets, it is a temporary measure and proper GS1 registration is the destination. Regulatory Barcode Requirements in India

While barcoding is generally voluntary, there are sectors where it is mandated.

Pharmaceuticals — export. The Directorate General of Foreign Trade mandates barcoding on export consignments of pharmaceutical products, at primary, secondary and tertiary packaging levels as applicable, to enable track and trace. Exporters must obtain GS1 identification to comply.

Pharmaceuticals — domestic. Under the drug rules, manufacturers of active pharmaceutical ingredients are required to affix a barcode or QR code on the packaging carrying prescribed particulars, and a QR code requirement has been introduced for specified top formulation brands, encoding details including the product identification code, brand and generic name, manufacturer details, batch number, dates of manufacture and expiry, and manufacturing licence number. Businesses in this sector should confirm the current scope, which has been progressively extended.

Medical devices. Unique Device Identification requirements have been introduced in phases and should be checked against the current position for the device class concerned.

Other sectors. Food, cosmetics and other regulated products have their own labelling requirements — FSSAI licence number, net quantity declaration, legal metrology declarations — which are separate from barcoding but occupy the same pack real estate and should be planned together.
